SmartHR Kenya uses simple base fee + per-employee pricing with four plans: Starter at KES 1,000/mo base + KES 50/employee (up to 25 employees) for core HR, attendance, and leave management; Professional at KES 3,000/mo base + KES 100/employee (up to 100 employees) adding Kenya-compliant payroll, payslips, SMS notifications, and statutory reports; Business at KES 6,500/mo base + KES 150/employee (up to 250 employees) with field GPS tracking, M-Pesa disbursement, recruitment, performance management, and advanced analytics; and Enterprise with custom pricing for unlimited employees. Yes. SmartHR Kenya offers a free trial period so you can explore the platform and see how it fits your business needs before committing to a paid plan. During the trial, you get access to all features so you can fully evaluate the system. No credit card is required to start your trial.

SmartHR Kenya accepts M-Pesa (via STK Push for convenient mobile payment), credit and debit cards (Visa, Mastercard), and bank transfers for annual plans. M-Pesa is the most popular payment method among our Kenyan customers. All payments are processed securely and you receive an instant receipt.

Yes. You can upgrade your plan at any time from your admin dashboard. When you upgrade, the price difference is prorated for the remainder of your billing period. You will get immediate access to all features in your new plan. Downgrades take effect at the start of your next billing cycle.

When your subscription expires, SmartHR Kenya provides a grace period during which you can still access your data and renew your plan. After the grace period, your account is suspended but your data is preserved. You will not be able to access the platform until you renew, but no data is deleted. We send email and SMS reminders before and after expiry to ensure you have ample time to renew.

Add-ons are optional extras you can subscribe to on top of your plan. Recurring add-ons include SMS bundles (500 or 2,000 messages/month), extra geo-fence zones, API access, and additional storage. One-time services include data migration, virtual training, and on-site training. You can add or cancel add-ons at any time from your billing dashboard.

With annual billing, you pay for 10 months and get 12 months of access — that is approximately a 17% discount. The discount applies to both the base fee and the per-employee fee. For example, a Professional plan with 50 employees would cost KES 8,000/month or KES 80,000/year (saving KES 16,000). Setup fees are one-time and not affected by billing cycle.

The Starter plan has no setup fee. The Professional plan has a one-time KES 5,000 setup fee, and the Business plan has a KES 10,000 setup fee. Enterprise setup fees are custom based on your requirements. Setup fees cover account configuration, initial data import assistance, and onboarding support.
